OFFICE ASSISTANT JOB DESCRIPTION

Post Title:                 Office Assistant

Responsible to:      Administrator

Salary Grade:          Living Wage

Hours:                       16

 “A carer is someone who supports a relative, child, friend, partner or neighbour with an illness, frailty, disability or addiction issue.”

Key Responsibilities:

To provide administrative support to colleagues, managers and board members.

Tasks:

  • Provide a sensitive and welcoming reception to carers and visitors of the centre.
  • Respond to initial enquiries and deal with these appropriately.
  • Maintain records of people accessing the centre and groups.
  • Sort, record and distribute mail.
  • Ensure information displayed internally is accurate and current.
  • Monitor stationary and publicity materials.
  • Data entry and general office duties.
  • To attend meetings, conferences and training relevant to the role.
  • Undertake other duties as appropriate to the post when required.

Personal Specification:

Essential Skills, Experience and Qualities

  • National 4 Admin and IT qualification or equivalent
  • Enthusiastic and organised individual
  • Experience of using social media platforms such as Facebook and websites
  • Good standard of written English
  • Excellent telephone manner
  • Ability to work on own initiative with supervision
  • Capable of setting priorities for own work with support
  • Ability to maintain confidentiality

Desirable Skills, Experience and Qualities

  • Understanding of the impact of caring on Carers gained from personal or professional experience
  • Understanding of support available to carers
